Operations Coordinator – South Hackensack, NJ

We are currently seeking a motivated Operations Coordinator to thrive in our growing National Mechanical Division. This person will serve as the administrative support, delivering the best overall workflow optimization. The selected individual will work closely with our Service, Sales & Finance Departments to ensure the highest level of satisfaction to both our internal and external customers. The ideal candidate should demonstrate independent judgment required to plan, prioritize and organize a varied workload with a high level of organization and a keen eye for systematic efficiencies.

Role and Responsibilities (include but not limited to):

– Point person for Certificate of Insurance requests to & from customers

– Ongoing communication with our office suppliers & vendors

– Payroll Processing: track staffs time & attendance

– Point person for Customer Collections on overdue invoices; work with department managers to ensure customers meet payment terms

– Develop strategies for consistent and timely collections

– Organize and save incoming AP Invoices

– Manage outgoing Service Invoice Process to meet customer requirements

– Answer incoming phone calls and direct to appropriate person, as necessary

– General paper and electronic file management and organization

– Provide general administrative support to the office where needed as well as daily mail distribution

Qualifications and Requirements:

– Associate or Bachelor’s Degree

– 3+ years’ experience working in a fast pace office environment

– Reliable, flexible, people-oriented with a friendly & patient demeanor, fast learner with the ability to demonstrate initiative and responsibility

– Excellent communication (verbal & written) and organizational skills

– Proficient in Microsoft Word, Excel, Outlook & standard office equipment

– Ability to meet physical requirement of position

– Availability to start within a maximum of 2 weeks

– Previous customer service experience in an industrial or service industry preferred

– Previous experience with customer collections preferred
